Step by step
- Open the spreadsheet in Excel, LibreOffice or Google Sheets and set the page up as described below. Save it as XLSX.
- Open Excel to PDF and drop the file in.
- Click Convert and download the PDF.
The converter uses the print settings saved in the file: print area, orientation, scaling and margins.
Fit all columns on one page
In Excel: Page Layout → Width: 1 page, Height: Automatic. In LibreOffice Calc: Format → Page Style → Sheet → Fit width to 1 page. The sheet is scaled down so every column fits across, and long tables continue onto the next page.
Wide tables read better in landscape: Page Layout → Orientation → Landscape.
Print only what you need
Select the cells to include and choose Page Layout → Print Area → Set Print Area. Empty rows and columns outside it, which often cause blank pages, are then left out.
Several sheets
Every visible sheet is included in the PDF, one after the other. Hide the sheets you do not want before saving, or move them into a separate file.
Make it easy to read
- Repeat the header row on every page: Page Layout → Print Titles → Rows to repeat at top.
- Turn on gridlines for printing if the table has no borders.
- Use a common font such as Calibri or Arial; it is replaced by a metric-compatible one if missing, so columns keep their width.
